Vzw Samenwerken aan Kinderopvang Brussel is a Local Office established in accordance with the Decree of 20 April 2012 on the provision of childcare for babies and toddlers. A Loket is a contact point for parents to make childcare more easily accessible. Our job is to make it easier for you to find your way to childcare. That is why we have developed a website, in collaboration with our software developer, where you can register your application for childcare.
If you are looking for a place in Brussels Dutch-speaking childcare, you apply via our website. What information do we ask of you?
We collect your contact details so that the childcare facilities you have chosen can easily contact you when they have an availability for your child. When your childcare request becomes urgent, all childcare facilities connected to our website can make you an offer. Your contact details are therefore very important.
From the helpdesk we can contact you if we suspect that a mistake has been made or an incomplete file has been identified. We also use your contact details to inform you about the status of your file (start date near and start date passed) and to inform you that your application has been cancelled by someone from the helpdesk. We may also contact you in the context of evaluations of the quality of our services.
It is important for the planning in the childcare facilities to know when you wish to start in childcare and which days you want childcare. This is the only way to determine whether a place is available for your child. This is why we ask for all kinds of information about your desired starting date and childcare plan.
Finally, we also ask for some information within the framework of the childcare priority rules. In the Brussels Capital Region, there is a priority rule for families in which one of the parents has a sufficient knowledge of the Dutch language. Childcare facilities may give priority to this group up to a maximum of 55 per cent of their capacity. For this reason, we ask for your knowledge of Dutch during your registration. You do not have to upload proof of this on our site. You only have to indicate that you have proof.
In addition, Kind en Gezin has also determined a number of more general priority groups. To check whether you belong to one of these priority groups, we ask about your family situation, your financial situation and your work situation; but also about your educational level and health situation. More information on these priority rules can be found on our childcare info page or on the Kind en Gezin website.
Registering your application creates a file. We ask that all the information you share is as correct and accurate as possible. If anything changes in your family situation, financial situation or work situation, we ask you to update this in your file as well. The information you share is used to determine whether your profile matches the profile a childcare facility is looking for when a place becomes available.
We use the information from our database to inform policy on the demand for Dutch-speaking childcare in Brussels. The data passed on is always anonymised, which means that it is never possible to find out which specific family the information relates to.
Subject to your consent, we also pass on data to Kind en Gezin so that they can contact you. The specific details that are passed on are the name, first name, date of birth, sex and contact details of the applicant and the name, possibly first name and (presumed) date of birth of your (future) child. No data of the partner (if any) will be passed on to Kind en Gezin.
You will be asked for this permission while registering your application. You are not obliged to consent. With questions about your data at Kind en Gezin, you can contact their privacy office at firstname.lastname@example.org.
At no time do we sell or pass on your or your child's data to other third parties. We treat all data as confidential information.
We keep your data in our database up to 5 years after the last activity in your file (closure of a registration, cancellation or expiry of an application, etc.). We chose this period to ensure that when you are looking for childcare for a second, third, fourth, etc. child, you do not have to re-enter all your details. You can then easily add another child to your file.
If you sent us an email in connection with your request, this will also be kept for 5 years.
Should you wish to delete your data before then, you can do so by contacting the DPO at email@example.com.
When you register your application, a file is created. Access to this file is protected by a password. Naturally, it is important that you do not share this password to ensure that others cannot access your file without your knowledge.
To ensure that the service we offer to parents is of the highest possible quality, the helpdesk staff have access to your file. They can help you make changes if you wish. The staff do not make any changes without your knowledge.
Our organisation works with a number of intermediary partners. Parents who want help registering their application can seek assistance. We expect the organisations we work with to treat the information parents give them as confidentially as we do. An intermediary partner's access to a file is limited in time (maximum 2 years after the last change to the file they made with the parent).
We obviously also cooperate with all childcare facilities linked to our website. Managers have access to all files of parents who have designated them as a choice. Only when the registration was done in the parents' name by the manager of the daycare facility does that manager have access even after the registration and can still make changes. Access in the file is limited. Once a child is registered at a childcare location, other childcare locations can no longer access your file.
We put all the data you leave with us securely under lock and key using state-of-the-art technology. Anyone who has nothing to do with your data cannot access it either. We take all possible measures to protect your data as best we can, in collaboration with a specialised subcontractor. Our website is developed and managed by a software company we work with. We require this subcontractor to handle your data as carefully as we do.
